Not many people pay attention to the page numbers in Microsoft Word documents. However page numbers are very important for files with many pages. There are few benefits of having page numbers in long documents. When you are reading a document and you get bored and decide to read the remaining part later then just remember the page number up to which you have read, which will be helpful the next time when you’ll open the file. The other benefit is when you print many pages of the document in paper, then it is easier to arrange them in order of page numbers. Otherwise you may have to eye-scan the whole document to get the order right.

Headers and footers can be used to display author’s name, the document’s name and also to display some important footnotes.

Having page numbers, headers and footers in a document look better, more informative and feel more professional.

To add page numbers, headers and footers is very easy in Microsoft Office word files. The files generally have extension .doc or .docx.

How to Add Page Numbers in Microsoft Office Word?

To insert page numbers, go to Insert tab and click Page Number and exercise the different options as per your need.

To get out of the editing of Page Number mode, just double click on middle portion of any page.

How to Add Headers and Footers in Microsoft Office Word?

To add headers or footers just double click on the top or the bottom portion respectively of any page. This activates the editing of headers and footers. Now you can insert any text in header or footer. Once you write any text on the header or the footer, it automatically gets inserted in every page of the document.

To get out of the editing of header or footer mode, just double click on middle portion of any page.

Overwriting Problem with Headers, Footers and Page Numbers

Whenever a page number is inserted in header or footer by the use of Page Number command which is present in the Insert menu, the text on the headers or the footers gets deleted and the page number appears.

However many times you may need to use headers, footers and page numbers simultaneously in some of your projects.

This happens because page number command overwrites the headers or the footers on which it is present.

Solution of the Above Problem

In this extensive tutorial, I have used Microsoft Office 2007. However in other versions the solution is more or less the same. To solve this problem and to understand the solution, we will use a simple example.

Suppose I want a word file with :

  • Header on Top Left Corner

  • Page Number
    On Top Right Corner
  • Footer on Bottom Left Corner

For the above mentioned requirements, first of all double click on bottom of any page to activate the footer editing mode and enter the required text :

Then go to Insert tab and go to :
Page Number – Top of Page – Plain Number 3

I have used Plain Number 3 because it inserts page numbers in right corner.

Now don’t exit the Page Number editing mode as yet and click on the top left corner and enter the required text :

When you are done, save and close the file. Thus, you have successfully inserted page numbers, headers and footers simultaneously in a Microsoft Office Word document.

To edit text in the header, double click anywhere in the header on the page and edit the text. To finish editing, double click outside the header. Never re-insert the page number, otherwise the whole header text will be replaced by page number only.
